  01. 标题

  给邮件一个简单、明确、具体的标题是非常重要的,让对方看一眼标题就知道这篇邮件大概要说什么。 例如:

  如果你即将毕业,需要发给advisor询问毕业课程或者学分等等。这时候的标题可以写:Graduation check

  02. 称谓

  写邮件的第一步,首先要清楚对方的称谓,怎么称呼收件人。

  *头衔/职位

  Dear Prof.(教授)/Dr.(博士)+ 姓

  (要记得greeting后面的标点符号是逗号, 然后空一行之后才正式开始信的内容。)

  *跟对方邮件来往较多

  Hi XX或者Hello XX(收件人的First Name)

  *第一次和对方联系,或者不熟悉

  “Dear+姓” 比如Dear Mr. Green, Mrs. Green

  *如果不知道对方(女性)是否已婚,用“Ms.”

  *如果不知道对方姓氏或性别,使用“Dear Sir/Madam ”

  问候语

  邮件开头第一句一般是简单的问候,与对方寒暄一下,增加一些亲切感。

  例如:

  How are you? I hope you are doing well。How is the project going?

  03. 正文

  最重要的是简化句子去表达意思,不要用复杂的长单词或是技术术语使邮件内容累赘冗长。保证句子是清楚易懂的就没有问题。

  询问信息

  *I am writing to inquire about…

  *Could you give me some information about...?

  *I would like to know ...

  *I’m interested in receiving/finding out ..

  提出要求

  *I’d be grateful if you could ...

  *I wonder if you could ...

  *Do you think I could have ...?

  添加附件

  Please find attached the file (we discussed/you requested, etc.).

  I’m sending you ... as a pdf file.

  作出承诺

  *I’ll investigate the matter.

  *I will contact you again shortly.

  提供/寻求帮助

  *Would you like me to ...?

  *If you wish, I would be happy to ...

  *Let me know whether you would like me to ...

  *It would be nice if you could provide a bit more information on ...

  *I would really appreciate meeting up if you can spare the time.

  04. 结尾

  邮件最后一部分通常会表示感谢或解释下一步是什么。

  *Thank you for your time and consideration.

  *I look forward to hearing from you.

  *Please contact me if you have any question.

  *I appreciate your prompt process in ...

  *We are grateful for ...

  *It has been a pleasure to ...

  落款

  【落款】的格式通常为“谦辞,换行+姓名”,例如:

  Best Regards,Tong(Owen)Wang

  常用的表达还有:

  *Sincerely,your Sincerely

  *Regards, Best Regards

  *All the best/All best

  *Take care

  *Best wishes

  Applying for a position

  1. 称呼和问候

  Dear + HR姓

  2. 陈述理由

  With reference to your job post on the ... website, I am interested in applying for the position of...

  3. 自我介绍

  *I am currently studying for a ... degree in ... at ... University.

  *For the last ... months I have been working as a ... at ...

  4. 关于职位 (简单的说一两句你为什么对这个工作感兴趣和你曾经相关的经历)

  *I am interested in this position because ...

  *I feel I would be well-suited for this position because I have a lot of experience in ...

  5. 添加简历

  *The attachment below is my CV / Resume / Cover Letter. (看招聘网站的要求,上传相应的内容。)

  *I have attached my CV / Resume / Cover Letter as a PDF document.

  6. 结束语和结尾问候

  *I would be grateful if you would consider my application.

  *I am available for interview in .../ by phone any weekday afternoon, and you can email me or telephone me on the number below.

  *I look forward to hearing from you soon.

  *Yours faithfully (通常用于无具体人名抬头Dear Sir/Madam的信件结尾)

  *Yours sincerely(通常用于有具体人名抬头Dear Mr. James/Dear Ms. Jasmin 的信件结尾)
